WhatsApp AI agents for business

A WhatsApp AI agent reads the messages arriving on a business number, works out what each one needs, and either drafts a reply for a person to approve, files the details into your system, or sends a scheduled update to a team group. Kyn Technology builds these for SMEs in Singapore and Southeast Asia as part of a custom system, connected to the CRM, spreadsheets and tools the business already runs on.

A focused first release reaches production in about 14 days once scope, access and integrations are settled. Rights in the custom work are assigned to the client on full payment, as set out on /legal.

What the agent does

Captures every enquiry

Messages that would otherwise sit in one salesperson’s phone are read, classified and recorded: who asked, what they asked for, and what is missing. Nothing depends on someone remembering to log it.

Drafts replies for approval

For each enquiry the agent drafts a reply in context, drawing on your products, prices and past conversations. A person approves, edits or rejects it before it is sent.

Files the details where they belong

Contact details, order requests and follow-up dates are written into the CRM or internal system of record, so the WhatsApp thread is no longer the only copy of the deal.

Sends team reports to WhatsApp groups

Finance, sales and production agents can push a daily summary, digest or early warning into the groups your team already reads. The information arrives where the work happens, with no extra login.

WhatsApp rules that shape the build

These are Meta’s published rules for the WhatsApp Business Platform. A build that ignores them puts the business number at risk, so they are designed in from the start.

Opt-in before the business writes first

Business-initiated messages need the person’s opt-in. Agents are built to check and respect it, along with opt-out requests.

The official platform for customer-facing work

Automated messaging to customers should run on the official WhatsApp Business Platform. Tools that automate a personal WhatsApp account are unsupported and can get the number restricted.

Where people stay in the loop

  • Approval before any customer-facing reply, unless a message type is explicitly cleared in the scope.
  • Pricing, discounts and exceptions.
  • Complaints and anything the agent cannot classify with confidence.
  • The relationship itself. The agent removes typing and filing, not judgement.

Fit for Singapore and Indonesia

Indonesia

WhatsApp is the dominant business channel in Indonesia, so an agent that works inside it reaches customers and staff where they already are. Replies and reports can be written in formal Bahasa Indonesia.

Singapore and Malaysia

B2B enquiries often split between WhatsApp and email. The agent can treat both as one inbox, so a lead is followed up whichever channel it arrived on. See AI sales automation for the wider sales pipeline.

What it is not

Not a chatbot left to answer everything

A bot that improvises answers to customers unsupervised is a brand and compliance risk. These agents work from your approved information and route anything uncertain to a person.

Not mass messaging

Broadcasting to people who have not opted in breaks WhatsApp’s rules and damages the number’s standing. It is not part of this service.

Data protection

Conversations contain personal data. Builds follow the law where the data subjects are: the Personal Data Protection Act in Singapore, Indonesia’s Personal Data Protection Law (Law No. 27 of 2022) and Malaysia’s Personal Data Protection Act 2010. Retention and access rules are agreed in the scope before anything is stored.

Frequently asked questions

What is a WhatsApp AI agent?

Software connected to a WhatsApp Business number that reads incoming messages, works out what each one needs, and then drafts a reply for a person to approve, files the details into a CRM or internal system, or sends a scheduled update to a team group.

Can it reply to customers on its own?

It can, but the default KYN builds is human approval before any customer-facing send. Fully automatic replies are a deliberate choice made per message type in the statement of work, never the starting point.

Does it need the official WhatsApp Business Platform?

For anything customer-facing, yes. Meta’s WhatsApp Business Platform is the supported route for automated business messaging. Unofficial connectors that drive a personal WhatsApp account risk the number being restricted or banned.

How long does a build take?

About 14 days for a focused first release once scope, access and integrations are settled. Template approval, CRM access and data clean-up are the usual reasons it takes longer.

Who owns the agent once it is built?

Rights in the custom code, configurations and deliverables are assigned to the client on full payment, as set out in section 3 of the KYN terms. KYN keeps its pre-existing tools, licensed to the client as part of the delivered system.
