Expense, receipt and GST automation

Expense automation turns a receipt photo into a record: merchant, date, total and GST read by AI, converted to SGD where needed, checked for duplicates and filed against the right category. Kyn Technology builds this for self-employed people, small firms and SMEs in Singapore, either as a standalone tool or inside an existing finance workflow.

A focused first release reaches production in about 14 days once scope and access are settled. Rights in the custom work are assigned to the client on full payment, as set out on /legal.

What the system does

Reads the receipt

A photo, PDF or forwarded email is read for merchant, date, total, GST amount and, where printed, the supplier’s GST registration number. Each field is shown next to the image so a person can confirm it in seconds.

Handles volume

Receipts can be uploaded one at a time from a phone or in bulk at month end. Likely duplicates, such as the same receipt photographed twice or a card slip and its itemised receipt, are held for review rather than counted twice.

Converts foreign currency

Receipts in other currencies are converted to SGD at the rate for the charge date. Where the card statement shows the actual SGD charged, that figure can be used instead, so the claim matches the money that left the account.

Shows spend before GST

Expenses are reported net of GST, with GST held separately. Spend by category reflects the cost to the business, and the GST total is visible on its own for the tax review.

Exports what the accountant needs

A tax review screen lists each period’s expenses with the GST amount and a link to the receipt image. CSV export feeds the accounting system, e.g. Xero, or goes straight to the accountant.

Built and running

Expense and GST software for self-employed people and small firms, Singapore

  • Receipt photo to merchant, date, total and GST, read by AI.
  • 30 receipts read in 17 seconds.
  • Bulk upload of up to 100 receipts at once, with likely duplicates held for review.
  • Foreign-currency receipts converted to SGD at the charge-date rate.
  • Expenses shown before GST, a tax review screen, and CSV export.

GST records

A GST-registered business claims input tax on business purchases, supported by valid tax invoices or receipts. The system keeps each receipt image with the fields read from it, and flags receipts that lack what an input tax claim normally needs, such as a supplier GST registration number. Which expenses qualify, and which documents are sufficient, is set by IRAS. Check IRAS guidance or your tax agent for current rules. Our guide Claiming GST on business expenses covers the record-keeping side.

Where people stay in the loop

  • Confirming fields the AI read with low confidence, such as faded thermal paper or handwritten receipts.
  • Clearing likely duplicates.
  • Business or personal. The owner or approver decides; the system records the decision.
  • Claim approval for staff expenses, with approver and date kept on the record.
  • The GST return. Filing stays with the business or its tax agent.

What it is not

Not a tax adviser

KYN builds software. We do not give tax advice, decide whether an expense is claimable, or file GST returns. Those decisions sit with the business, its accountant or tax agent, and IRAS rules.

Not a replacement for an off-the-shelf tool that already fits

If a packaged expense app covers your workflow, use it. A custom build fits when receipts must flow into a specific approval chain, ledger or project costing that packaged tools do not model. See custom AI automation for how we scope that.

Not perfect reading

AI reading is fast and usually right on printed receipts. Crumpled, faded or handwritten receipts still need a person to confirm the figures.

Data protection

Receipts can show names, card digits and addresses. Builds follow Singapore’s Personal Data Protection Act. Images are stored in the client’s cloud account or an agreed region, access is role-based, and retention is set in the scope to match the business’s record-keeping obligations.

Frequently asked questions

How accurate is AI receipt scanning?

On clear printed receipts the merchant, date, total and GST are usually read correctly. Every field is shown next to the image, and low-confidence reads are flagged for a person to confirm before the record is used.

Can it tell me which expenses I can claim GST on?

No. It flags receipts that lack details an input tax claim normally needs, such as a supplier GST registration number. Whether an expense is claimable is set by IRAS rules and decided by you or your tax agent.

Does it handle receipts in other currencies?

Yes. Foreign-currency receipts are converted to SGD at the charge-date rate. Where the card statement shows the SGD actually charged, that amount can be used instead.

Does it connect to Xero?

It exports CSV that accounting systems, e.g. Xero, can import, and can be built to post through an accounting system’s API. KYN has no official partnership with any accounting software vendor.

How long does a build take?

About 14 days for a focused first release once the approval chain, categories and accounting system access are settled.

Where are receipt images stored?

In cloud storage agreed in the scope, usually the client’s own account. Access is role-based and retention is set to match the business’s record-keeping obligations.
