Custom build or a workflow tool.

Zapier, n8n and Make wire triggers to actions without code and are the right tool for a dozen simple automations. A custom build is the right tool when the logic branches, the data must be reconciled, or a person has to approve what leaves.

Zapier, n8n or MakeKYN custom build
Where it runsThe vendor’s cloud (Zapier, Make) or your own server (n8n, self-hosted).Your cloud account; the code in your repository.
Who maintains itWhoever built the scenario, often a founder on weekends.KYN under the retainer; your team can read and change the code.
When an API changesThe zap breaks silently until someone notices the missing rows. The log flags the failure; we fix the connector and the queue resumes.
Branching logic and reconciliationPossible, but a scenario with 40 nodes is harder to read than 40 lines of code.Ordinary code: match by row count and total, hold exceptions for a person.
ApprovalsAdded by hand with an approval step per flow, if remembered.Built in: outbound, money, filings and deletions wait for a named approver, logged.
Audit logRun history per task, retained for the plan’s window.Input, model, output, time and approver per action, in your database.
Run costA monthly plan sized by tasks or operations; price rises with volume.Model and messaging fees per unit; hosting near zero when idle.
AI inside the flowAI steps available; prompts live in the node, outputs in the run log.Any model, with the prompt and output logged against the record.

Which one, when.

Questions buyers ask

Can KYN build on n8n instead of writing code?

Where it fits, yes; n8n self-hosted in your account is a reasonable runtime for simple flows. For reconciliation, approvals and anything with money, we write code so the logic is readable and tested.

Our Zapier bill keeps rising. Is a build cheaper?

Often, above a few thousand tasks a month. A build’s run cost is the model and messaging fee per unit plus hosting near zero when idle; there is no per-task charge. Send us the task count and we will say.

Can we keep our existing zaps?

Yes. A build usually replaces the flows that touch money or customers and leaves the harmless ones alone.

What breaks when an API changes?

In a workflow tool, the step fails and the flow stops, often silently. In a KYN build the failure is logged, the queue holds, we fix the connector under the retainer, and the queue resumes from where it stopped.
