Coretax is the Indonesian tax authority's central platform for tax administration, and it replaces the legacy e-Faktur framework for VAT invoices. The practical change for an SME finance team: a tax invoice (faktur pajak) is cleared by the system before it is issued to the buyer, and most businesses do this through the web portal. High-volume taxpayers can connect by Host-to-Host (H2H) or desktop client. If your invoices still start in a spreadsheet or in accounting software that exports to the old e-Faktur desktop app, the workflow needs rework, not just a new login.
This article covers what changed, what a small finance team should clean up first, and where automation helps. It is a primer. Confirm the channel that applies to your company with your tax adviser and with DJP (Direktorat Jenderal Pajak).
What is Coretax, and how is it different from e-Faktur?
e-Faktur was a desktop application. You prepared the invoice data, uploaded a file, and received an approval code. Coretax moves that step into a single platform that also covers registration, returns and payments.
One summary of the rollout, from the e-invoicing vendor Comarch, reports that Coretax would be fully enforceable for nearly all VAT-registered taxpayers (PKP) by 31 December 2025. It also reports that invoices need real-time clearance from Coretax before they go to buyers, and that most businesses use the web portal. It is a third-party summary, so treat the date as a pointer and check DJP for the rule that applies to you today.
The shift in one table:
| Point | Legacy e-Faktur desktop | Coretax | |---|---|---| | Where you work | Desktop app, file upload | Web portal, or H2H and desktop client for high volume | | Invoice status | Number requested, then uploaded | Cleared before the invoice reaches the buyer | | Scope | VAT invoices | Wider tax administration on one platform | | Data source | Export from accounting software | Entered, imported or sent by integration |
What does the VAT rate mean for invoice data?
The statutory VAT rate is 12% from 1 January 2025. For most non-luxury goods and services, the tax base is 11/12 of the price, so the effective rate is 11%. DJP explains this in its note on PMK 131/2024. Luxury goods use the full price.
This matters for systems. An invoice line needs to say which base applies, and the VAT amount has to reconcile with the base on the faktur. If your accounting software carries one VAT code at one rate, the numbers on the faktur and in your ledger can differ by a few rupiah per line, and those differences accumulate across a month.
Two checks catch most problems:
- Recompute VAT from the base on every line and compare it with the cleared faktur.
- Flag any line where the base is neither the full price nor 11/12 of it, and ask why.
What should an SME clean up before it moves invoicing to Coretax?
The portal accepts what you give it. Most failures start in master data, not in the portal.
- Customer tax IDs. Each buyer needs a valid NPWP or NIK, and a name that matches the tax record. A trading name in your CRM will not match.
- Product and service codes. Coretax asks for a classification on each line. Agree one code per product in a single list.
- Invoice numbering. One sequence per entity, no gaps you cannot explain.
- Entity details. Legal name, address and tax status of each Indonesian entity, held in one place.
- User roles. Who may prepare, who may approve, who may issue. Keep the preparer and the approver as different people.
A one-day exercise on customer records pays back quickly. Export every customer you invoiced in the last year, check each against its tax ID, and fix the list once.
Which parts of the Coretax workflow can be automated?
Automation helps with preparation, matching and reconciliation. It should not issue on its own.
| Task | Automate? | Why | |---|---|---| | Build the invoice from an order or contract | Yes | Rule-based, checkable | | Validate buyer tax ID and name format | Yes | Catches rejections before they happen | | Recompute VAT base and amount | Yes | Arithmetic with a right answer | | Submit for clearance | Wait for a named person | A cleared invoice carries your legal liability | | Match cleared fakturs to ledger entries | Yes | Daily, with exceptions listed | | Reconcile monthly VAT return to the ledger | Yes, then review | A person signs off |
Whether you can submit by integration depends on your channel and volume. Many SMEs will use the portal, and the automation then sits before and after it: a prepared batch ready to review, and a daily reconciliation of what was cleared. That is still most of the saved time, because typing and matching dominate the work, not clicking submit.
How should the data flow look?
Keep one source of truth for each fact.
- The order or contract record holds buyer, items, prices and tax treatment.
- A preparation step builds the faktur data and runs the checks above.
- A named person approves the batch.
- The portal clears each invoice.
- The cleared number and date return to the ledger.
- A reconciliation compares ledger VAT with cleared fakturs and lists differences.
Every step logs who did what and when. If DJP queries a month, you can show the preparer, the approver, the clearance and the ledger entry for each invoice without searching inboxes.
For teams reporting in Bahasa Indonesia, keep labels in both languages. A finance lead in Jakarta and an owner in Singapore should read the same report. See our note on automatic operational reports over WhatsApp in Indonesia.
What is the first step this week?
Export every customer invoiced in the last 12 months and check each tax ID and name against the tax record. Then list the places an invoice is created today. Two lists, one afternoon. They show the size of the cleanup and which source needs an integration, before you spend anything on tooling or on a portal training session for the team.
Where KYN fits
KYN builds finance systems that run in your own cloud account. For a manufacturer, we moved eleven systems to three and built a ledger of 3,309 reconciled rows with zero duplicates. The same pattern applies to faktur data: one prepared batch, a named approver, a logged clearance and a daily reconciliation. Money, filings and outbound messages wait for a named person.
The first 14 days are a review of your stack and interviews with your team. A full build ships in under 90 days. Rights in the custom code and configuration pass to you on full payment. See finance systems and integrations.
Frequently asked questions
Is e-Faktur still used after Coretax?
Reports differ by period and taxpayer type. Comarch's summary says high-volume taxpayers may keep desktop or H2H channels while most businesses use the web portal. Ask your tax adviser which channel DJP expects from your company now.
Does Coretax change how VAT is calculated?
No. The rate and base come from the VAT rules, which DJP sets out in PMK 131/2024. Coretax changes how invoices are cleared and reported, so the data you enter must match the base and rate you apply.
Can an agent submit invoices to Coretax on its own?
It can prepare and validate them. Submission carries your legal liability, so a named person should approve each batch before it goes. The agent then records the cleared number against the ledger entry.
