Follow up a quote three times: a confirmation of receipt on day 2, a useful answer on day 7, and a clear close-out on day 14. Each touch has one job and one question. An agent can draft all three from the quote record and the CRM notes. A named person approves each send, because a follow-up carries your name and often a date or a price.
Below are the sequence, a template for each touch, the rules that stop it, and how to wire it to a CRM. The day counts are a starting point. Set them by your sales cycle.
Why three touches?
A quote is a decision request. The buyer has to compare, ask someone, or wait for budget. One follow-up is easy to miss. Five reads as pressure. Three gives the buyer a chance to answer, a reason to answer, and a clean way to say no.
The sequence moves from low pressure to a decision:
| Touch | Day | Job | Ends with | |---|---|---|---| | 1 | 2 | Confirm receipt, offer to walk through it | A yes/no on whether it arrived and made sense | | 2 | 7 | Answer the likely objection | One question about the blocker | | 3 | 14 | Close the loop | A choice: proceed, pause, or decline |
Adjust the days for deal size. A S$800 monthly service may move faster than a S$60,000 project with a procurement step.
What goes into touch 1 (day 2)?
Purpose: confirm the quote arrived and is readable. Quotes are often stuck in a spam folder or forwarded to the wrong person.
Template:
Subject: Quote for [project name]
Hi [first name],
I sent our quote for [project name] on [date]. Did it reach you, and is the scope clear?
If it helps, I can walk through the [two or three line items that vary most] in 15 minutes this week.
[Name]
The agent fills the brackets from the quote record. The line items come from the quote itself, never from memory. If the quote has a validity date, state it once: "The quote is valid until [date]."
What goes into touch 2 (day 7)?
Purpose: address the likeliest reason for silence. Do not repeat touch 1.
The agent picks the objection from the CRM notes and the call record. If nothing is recorded, it uses the most common one for that deal type: price, timing, or who else is involved.
Template, price version:
Hi [first name],
Quotes like this one often raise a question about [cost driver, for example "the monthly fee versus the one-off build"]. Here is how the numbers split: [two lines taken from the quote].
Is that the point you are weighing, or is it something else?
Template, timing version:
Hi [first name],
If [project] is for [quarter or event], the work would need to start by [date]. Does that fit your plan, or has the date moved?
The closing question should be a real question the buyer can answer in one line. "Just checking in" is not one.
The agent must not offer a discount in this touch. Price changes are a person's decision. See why sales agents need hard limits on discounts.
What goes into touch 3 (day 14)?
Purpose: let the buyer say no without friction. A closed deal that is marked lost is more useful than one that is stuck open.
Template:
Hi [first name],
I have not heard back on the [project] quote, so I will assume the timing is not right and close it on our side on [date].
If that is wrong, reply with "proceed" or "later" and I will pick it up from there. If a different scope would suit better, tell me what to change.
[Name]
This one works because it names a date and gives three one-word answers. Replies to it are the fastest signal you will get, including useful no-answers such as "went with another vendor".
When must the sequence stop?
The agent checks these conditions before every touch:
- the buyer replied on any channel, including a phone call logged by a person;
- the quote was accepted, declined or revised;
- the contact unsubscribed or asked to stop;
- an out-of-office is active (pause until the return date; see out-of-office, bounces and unsubscribes);
- a person marked the deal as "on hold" for a stated reason.
If the quote is revised, the old sequence ends and a new one begins from touch 1. Sending touch 2 against a quote that has been replaced is a common error that costs credibility.
How should an agent draft these, and who sends?
The agent drafts. A person sends.
- When a quote is issued, the agent creates three scheduled drafts in a review queue.
- On each due date, it re-checks the stop conditions and refreshes the text from the latest CRM state.
- The reviewer sees the draft, the quote link and the last note, then approves, edits or cancels.
- After sending, the agent logs the touch, the time and the actor.
This costs a reviewer about a minute per draft. It removes the failure where a follow-up goes out against a changed quote. It also keeps a name on every message.
Track three things to know whether the sequence works: reply rate per touch, share of quotes that end with a recorded outcome (won, lost, paused), and days from quote to outcome. The second number is the one that improves forecasting, because it removes "stuck" deals from the pipeline.
Where KYN fits
KYN builds the quote follow-up as part of a sales system in the client's own cloud account. The agent reads the quote and the CRM notes, drafts each touch, and writes the outcome back with the actor and time. Outbound messages, prices and deal stage changes to won or lost wait for a named person. See sales systems and automated customer follow-up for Singapore SMEs.
The first 14 days are a review of your stack and interviews with your team. A full build ships in under 90 days. Pricing is a one-off build fee and a monthly retainer, quoted after the review; see pricing.
Frequently asked questions
How long should I wait before following up on a quote?
Two days for the first touch is a workable default, because it checks that the quote arrived. Set the gap by deal size: shorter for small recurring services, longer where a committee decides.
Should the follow-up mention a discount?
Not in the first drafts. A discount is a margin decision for a person. If the buyer raises price, the agent flags the reply and a person decides whether to respond with a revised quote.
How many follow-ups are too many?
More than three automated touches on one quote tends to read as pressure and adds complaint risk. After touch 3, close the deal as lost or paused with a reason. A person can reopen it.
