Accounting software for Singapore SMEs: Xero, QuickBooks, Zoho, Odoo

By KYN AI Advisory Team — AI implementation specialists, Singapore

There is no single right accounting package for a Singapore SME. Xero suits owners who work with an external accountant and want a large connector ecosystem. QuickBooks Online suits teams that want tiered user limits and familiar workflows. Zoho Books suits very small companies that want a free tier and a low entry price. Odoo suits businesses that want accounting inside a wider system, such as inventory and sales. Pick on four things: how many people touch the books, whether you file GST, what else must connect, and who keeps the books.

What should an SME compare first?

Start with the job, not the logo. Five questions narrow the field before you read a price list.

  1. Who keeps the books? An outsourced accountant usually has a preferred package. Ask before you buy. Switching later costs more than asking now.
  2. Are you GST-registered? IRAS makes registration compulsory when taxable turnover passes S$1 million, tested on the calendar year and on a 12-month forecast, per IRAS guidance/gst-registration-deregistration/do-i-need-to-register-for-gst). Below that, registration is voluntary. If you file GST returns, check how the package prepares the figures for your return.
  3. How many users? Seat limits differ by plan and by product.
  4. What else holds data? CRM, payroll, inventory, e-commerce, bank. Every extra system either connects or gets re-keyed.
  5. How much will you outgrow it? A 5-person firm today may have three entities in two years.

How do the four compare?

Prices below are from each vendor's pricing page, checked 30 October 2026. They change, so confirm before you buy.

What are the details that change the decision?

Xero. Plans are Starter, Standard and Premium. Xero lists Starter at S$39 a month with a limit of 20 invoices and quotes and 5 bills, Standard at S$70 and Premium at S$95, all including GST, with an introductory discount for new Singapore customers on the first three months. The Starter limits matter: a business sending more than 20 invoices a month moves up a tier. Xero's value is its ecosystem and its open API, which we cover in Xero API: what you can read and write.

QuickBooks Online. Four plans: Simple Start for 1 user, Essentials for 3, Plus for 5 and Advanced for 25. Essentials adds bill management and multiple currencies, Plus adds inventory and projects, and Advanced adds workflow automation and a custom report builder. The Singapore page loaded no live prices when we checked, so get the current price at checkout.

Zoho Books. The Free plan covers one user plus one accountant, and Zoho says it stays available while financial-year revenue is under the US$50,000 threshold on its page. It lists GST tracking and GST F5 returns on the Free plan and up to 1,000 invoices a year. Paid plans start at Standard, S$15 a month billed annually for 3 users. Extra users and document scans are add-ons. Zoho sits well inside the wider Zoho suite.

Odoo. Odoo is a suite first and an accounting package second. Its One App Free plan includes one app with unlimited users. Standard and Custom plans are priced per user per month in US dollars and include all apps. If you already need inventory, sales and purchasing in one place, a single Odoo database removes re-keying. If you only need books, it is more system than you need. See Odoo alternatives in Singapore and custom CRM vs Odoo.

What do these packages not do?

Every package above covers the ledger well. Four gaps appear in real businesses.

  • Approvals before posting. Most books record a bill. Few hold it until the right person approves it under your authority table.
  • Cross-system matching. A CRM deal, a delivery note and a bill live in three systems. Books rarely match them.
  • Messaging. Chasing a late invoice on WhatsApp at 3, 14 and 30 days is not an accounting feature.
  • Multi-entity consolidation across regions. Possible, but each package handles currency and tax by country with different depth.

None of these is a reason to avoid a package. They are the places where a small layer of custom automation sits on top. Our guide to Xero bank feeds vs automated bank reconciliation shows one such layer.

How do you choose without regret?

Run a two-week test with real data, not a demo.

  1. Pick a closed month. Re-enter its sales, bills and bank lines in two shortlisted packages.
  2. Time each step and note where you search for a field.
  3. Have your accountant produce the GST workings from each.
  4. Connect the one tool you cannot live without, such as your bank or your invoicing tool.
  5. Count the manual steps left. That count, not the price, is your running cost.

Also ask how you leave. Check that each package exports a full transaction history in a standard format. A package you cannot leave is priced higher than its subscription.

Where KYN fits

KYN does not sell accounting software and does not replace your ledger. We build the layer around it: bills read from an inbox, matched to purchase orders, held for a named approver, then posted to your package, with receivables chased by message. For a manufacturer we reconciled a ledger of 3,309 rows with zero duplicates. For KYN's own books, bills come from Gmail, receivables are chased at 3, 14 and 30 days, and payroll follows 2026 CPF rules.

The first 14 days are a review of your stack and interviews with your team, and a full build ships in under 90 days. Everything runs in a cloud account in your name. See finance systems and integrations.

Frequently asked questions

Which accounting software is cheapest for a very small Singapore company?

On the pages we checked, Zoho Books has a free plan for one user and one accountant while revenue stays under the threshold it states. Xero Starter and Odoo's single-app free plan are the next options. Cheapest on paper is not cheapest in practice if you re-key data by hand.

Do these packages file GST for me?

They prepare the figures. You or your accountant still review and submit the return to IRAS. Check how each package maps tax codes to the return boxes before you rely on it.

Can I switch accounting software later?

Yes, with effort. Export the full transaction history and the chart of accounts, migrate opening balances at a month end, and run both in parallel for one month. Ask your accountant to sign off the opening balances.
